At Swarex Logistics Limited, we understand that business needs can change. This Cancellation Policy outlines the conditions under which you may cancel a shipping or logistics service booked through us, and any applicable charges.


2. Service Booking and Confirmation

Once a client confirms a service (freight forwarding, customs clearance, etc.) and payment or part payment is made, the booking is considered active. Cancellation thereafter is subject to this policy.


3. Cancellation Eligibility

You may request a cancellation if:

  • The shipment has not yet been picked up or dispatched.
  • Customs processing or documentation work has not been initiated.
  • No third-party charges (airline, shipping line, transport partner) have been incurred on your behalf.

  • 4. Cancellation Request Process

    All cancellation requests must be made in writing via email to: hello@swarex.com, Include:

  • Booking reference number
  • Company name
  • Reason for cancellation
  • Our team will review and confirm the cancellation eligibility within 2–3 business days.


    5. Cancellation Charges

    Cancellation fees depend on the stage of service and any third-party costs already committed:

    Post-documentation Documentation initiated, but shipment not dispatched Up to 30% of total charges
    Post-dispatch Shipment picked or dispatched No cancellation (Non-refundable)
    Customs Clearance Only If customs documentation is filed Up to 50% of the service fee

    Third-party charges (e.g., airline/shipping line booking fees, container booking, transporter fees) are non-refundable and billed as per actuals if already incurred.


    6. Refund Timeline

    Eligible refunds, if applicable, will be processed within 7–14 business days from confirmation of cancellation. The refund will be made via the original mode of payment or bank transfer.


    7. Non-Cancellable Services

    The following services are non-cancellable once confirmed:

  • Express shipments already handed over to carrier
  • Cargo that has already cleared customs
  • Project cargo with third-party coordination completed
  • Time-sensitive shipments under specific deadlines

  • 8. Force Majeure

    In case of cancellations due to events beyond our control (natural disasters, political unrest, strikes, port shutdowns, etc.), Swarex will work with clients to minimize losses but may not be able to offer full refunds.
